Visit reports, bait-station maps and trend charts your clients can hand straight to the auditor

Built around the report your BRCGS and SALSA clients already accept: a phone form per visit, a branded PDF before the technician leaves the car park, and a client portal with the trend chart the auditor asks for, with no per-technician fee.

Sound familiar?

  • Contracts and visit frequencies are in a spreadsheet, and a renewal showed that visits had been missed.
  • Visit reports are on carbon pads or a Word template, and the bait-station maps were drawn in PowerPoint.
  • The chemical and COSHH usage register is on paper.
  • Trend analysis is assembled by hand at audit time, when the client's auditor asks for twelve months of it.
  • An invoice is keyed into the accounts software after each visit.

What the system does

  • A contract register and visit calendar

A contract register with visit frequencies that generates each technician's visit calendar.

  • A phone form per visit

Device-by-device findings, photos, product used and a customer signature, producing a branded PDF report emailed to the client the same day.

  • Numbered site maps

A numbered site map per client with device locations, printed on the report and shown in the client portal.

  • A client portal with trend charts

A rolling twelve-month trend chart per site that the client can hand straight to the auditor.

  • A chemical usage register

Built from what technicians record on each visit, with no separate paperwork.

  • Invoices per visit or contract

An invoice per completed visit or per contract period, pushed to your accounts software.

What a first build looks like

A three-technician firm with around 120 commercial contracts

Before
Contracts in a spreadsheet, visit reports on carbon pads, bait-station maps drawn in PowerPoint and trend analysis assembled by hand at audit time.
What we build

How long
The delivery date is in the proposal, not in a sales pitch.

Why not just buy something?

Pest control software already exists.

It does, mostly from the United States or the Netherlands, priced per technician and shaped around their report. We build around the report your auditors already accept, with no per-technician fee.

Our technicians are not office people.

The visit form is designed with one of them: tap the device, record what was found, photo, next. It is quicker than the carbon pad and the report writes itself.

Will the auditors accept it?

Auditors accept records that are complete, numbered and trended; the format is yours. We copy your current report so nothing changes for the client except that it arrives the same day with a trend chart.

What if you disappear?

Your data is yours and you can export it at any time. The agreement sets out your rights to the software so you are never locked in. Your data is yours from day one. It runs on the platform we use for every build, and the handover documentation is part of the price. We put the support terms in writing before we start.

  • Fixed price, agreed in writing before we start.
  • A working version in weeks, not months.
  • Hosted, backed up and supported afterwards.

Questions we are often asked

Does it cover BRCGS pest management requirements?

It keeps the records those clauses expect: numbered devices on a site plan, visit records, missing stations noted and investigated, and trend analysis. Your service and your client's auditor decide compliance; we provide the records.

Can clients see their own reports?

Yes, through a portal with their sites, reports, maps and trend charts, if you want them to.

Does it do the chemical register?

Yes. Products used are recorded per device on each visit and roll up into a usage register per site and per technician.

Can it work offline inside a food factory?

Yes. The form saves on the phone and uploads when it has signal.

How long and how much?

Fixed price agreed first, first version in weeks, then a flat monthly fee for hosting and support.
