Bookings, run sheets and waste records for your skip business, ready for digital waste tracking

The day book, the whiteboard and the carbon-copy transfer notes, replaced by one system shaped around your lorries, your permits and your tipping charges, with the waste record produced once as part of the job.

Sound familiar?

  • Bookings are in a diary or Excel, and skip numbers and locations are on a whiteboard.
  • Permit applications and expiry dates are tracked by hand, and a skip on the road has outlived its permit before now.
  • Run sheets are printed every morning, and exchanges and wait-and-loads get forgotten.
  • Waste transfer notes are in carbon books filed for two years, and weighbridge tickets are reconciled to jobs by eye.
  • Invoices are re-keyed into the accounts software at the end of the week.

What the system does

  • Bookings by phone or online

Bookings by phone or from a form on your own website, with skip size, address, delivery and collection dates and whether a highway permit is needed.

  • Permit tracking with reminders

Permit tracking with expiry reminders, so a skip on the road never outlives its permit.

  • Run sheets on the driver's phone

A run sheet on each driver's phone with photos and a sign-off at delivery and collection, so a disputed job has evidence.

  • A waste record for every collection

A waste transfer record for every collection (EWC code, carrier number, destination site) kept for the duty-of-care period and structured for the digital waste tracking service.

  • Weighbridge tickets on the job

Weighbridge tickets and tipping charges attached to the job, with exchanges and extra charges captured at the time rather than remembered later.

  • Invoices without re-keying

Invoices posted to your accounts software (Xero at minimum; others where they are in scope) without re-keying.

What a first build looks like

An eight-lorry firm with a small transfer station

Before
Bookings in a diary, skip locations on a whiteboard, permit dates tracked by hand and transfer notes in carbon books.
What we build
  • An online and office booking screen with a skip-availability view
  • Permit tracking with reminders
  • A driver phone app with the day's run, photos and sign-off
  • A waste record per movement with EWC codes, carrier registration and destination, kept for the statutory period
  • Weighbridge ticket capture
  • Invoicing into Xero
Outcome
The waste record is produced once, as part of the job, and is structured so that digital waste tracking submissions can be added when your deadline arrives.
How long
The delivery date is in the proposal, not in a sales pitch.

Why not just buy something?

We will just use whatever the government service gives us.

The government service is a place to submit records, not a system for running your yard. You still need bookings, permits, run sheets and invoicing, and those should produce the waste record once rather than twice.

The skip hire software we found does not publish a price.

We agree a fixed price before we start, based on the scope you need, and there is no per-lorry or per-user fee.

Our drivers are not computer people.

The driver view is a list of today's jobs with a big photo button and a tick. We design it with one of your drivers and keep it that simple.

What if the digital waste tracking rules change?

They probably will. Because the records are already structured by EWC code, carrier and destination, we update the submission step as the service settles down. That is part of the support arrangement, not a new project.

  • Fixed price, agreed in writing before we start.
  • A working version in weeks, not months.
  • Hosted, backed up and supported afterwards.

What an inspector will ask to see

Environmental Protection Act 1990, section 34 (duty of care)
Waste transfer notes kept for two years and hazardous waste consignment notes for three.
Environment Agency carrier, broker and dealer registration
Your registration number on every record.
Digital Waste Tracking regulations (laid in 2026)
Records that can be submitted digitally: mandatory for permitted receiving sites in England and Wales from 1 October 2026 and for carriers, brokers and dealers from October 2027, replacing paper transfer and consignment notes.
Highways Act 1980, section 139
A valid council permit for every skip on the public highway.
Goods-vehicle operator licence undertakings
Vehicle and driver records for your skip lorries.

Correct to the best of our knowledge as at October 2026.

We build the record-keeping; we do not give regulatory advice. Your policies stay yours.

Questions we are often asked

Is this ready for digital waste tracking?

The waste records are built to hold the fields the service requires, and the submission step is added under support as the service's interface is published. We do not claim certification or approval by anyone.

Can customers book online?

Yes. A booking form on your website with sizes, prices and postcode checks feeds straight into the office screen; you can take payment online or on account.

Does it do permits?

It records which council, the permit dates and the cost, and reminds you before expiry. Applying to the council is still done on the council's own site.

Does it work with our weighbridge?

Tickets can be typed in, photographed or imported from a CSV, depending on what your weighbridge produces.

How long and how much?

A fixed scope and price agreed up front; first version in weeks. Hosting and support is a flat monthly fee.
