What we build

The jobs we are usually asked to sort out

Most of our work starts with something that used to work: a spreadsheet, a ring binder, a shared diary. It still holds the business together, but it is fragile, and only one person understands it. We turn it into a system with logins, reminders and reports.

Six kinds of system

  • Records and registers

Staff training, certificates, equipment, licences, vehicles. Anything with an expiry date that someone has to remember.

  • Bookings and diaries

Sessions, rooms, pens, vans, trainers. Online booking that follows your own rules, not a platform's.

  • Job sheets and checklists

Phone-friendly forms for the people on site: photos, signatures, timestamps, then a PDF to the customer.

  • Rotas and timesheets

Who is working where, hours into payroll, cover requests. Anthony built rota, timekeeping and payroll tools in a previous role.

  • Invoicing and exports

Invoices raised from the work that was done, pushed to Xero where that is in scope.

  • Evidence for inspections

One-click packs for the CQC, an auditor, a council licensing officer or an insurer.

What we replace

What you have now, and what it turns into.

  • The booking diary

becomesAn availability chart that stops double bookings.

  • The training matrix

becomesA register that chases its own renewals.

  • Paper job sheets

becomesA phone form with photos and a signature.

  • Month-end invoicing day

becomesInvoices raised from the work as it happens.

  • WhatsApp photos

becomesEvidence filed against the job automatically.

  • The one person who knows how it works

becomesLogins, permissions and a written guide.

What is included in every system

  • A web application that works on phones, tablets and PCs, with nothing to install.
  • Logins for each member of staff, with permissions (what a carer sees is not what the manager sees) and a log of who changed what.
  • An admin area where you manage your own lists: staff, courses, sites, customers, prices.
  • Reminders by email for anything with a date.
  • Exports: CSV for the accountant, PDF for the inspector. Accounts integration where it is in scope (Xero at minimum).
  • Hosting, backups, monitoring and security updates.
  • Hosting we manage under UK GDPR, with a written data-processing agreement.
  • Your data is yours and you can export it at any time. The agreement sets out your rights to the software so you are never locked in.
  • Data import from your existing spreadsheet at go-live, staff training and a written guide.
  • Fixed price, agreed in writing before we start.
  • A working version in weeks, not months.
  • Hosted, backed up and supported afterwards.
