Sound familiar?

  • Course dates and delegates are in an Excel workbook, and a trainer or a room has been double-booked before now.
  • Certificates are Word templates, and learners are re-keyed into awarding body portals.
  • Hours are uploaded to the DVSA system by hand, and one upload has already missed the five-working-day window.
  • Joining instructions go out one by one, and purchase order numbers are chased from employer clients.
  • There is no system for renewal reminders, so the most profitable revenue depends on memory.

What the system does

  • A calendar that stops double bookings

A course calendar with trainers, rooms and venues that will not let you double book.

  • Employer accounts and purchase orders

Employer accounts holding many delegates, with purchase order numbers and invoicing per booking.

  • Joining instructions and attendance

Bookings that send joining instructions automatically and take an attendance register on the day.

  • Certificates with expiry dates

PDF certificates with unique numbers, issue and expiry dates, in your own design.

  • Renewal reminders that rebook

Renewal reminders to the employer contact at the intervals you choose, with a link to rebook.

  • A worklist for uploads and registrations

A worklist for awarding body registrations and Driver CPC uploads that shows the deadline for each course.

What a first build looks like

A first-aid and forklift training company with four trainers

Before
An Excel workbook of course dates and delegates, Word certificate templates, DVSA uploads done by hand and no system for renewal reminders.
What we build
  • The course calendar
  • Employer and delegate records
  • Online booking with automatic joining instructions
  • An attendance register
  • Branded PDF certificates with unique numbers and expiry dates
  • 90, 60 and 30-day renewal emails with a rebooking link
  • A Driver CPC upload worklist flagging the five-working-day deadline
  • A CSV export in your awarding body's learner-registration format
Outcome
The refresher business comes back on its own, and the audit records are complete without re-keying.
How long
The delivery date is in the proposal, not in a sales pitch.

Why not just buy something?

The training management software we looked at was priced per admin seat.

That is the usual model, sized for providers with a sales team. Ours is a fixed price with no seat fees, built around your own course list.

A booking tool is enough for us.

If it is, we will say so. Booking tools stop at the booking; they do not hold certificates, expiry dates, employer accounts or awarding body exports, and they do not bring the refresher business back.

Will the awarding body accept records from your system?

Awarding bodies care that the records are complete, retained and available for audit; the system is designed around that and exports in their format. We do not claim approval by any body.

We are a two-person office.

That is who this is for. The build is small, the reminders run themselves, and you are not paying for seats you do not use.

  • Fixed price, agreed in writing before we start.
  • A working version in weeks, not months.
  • Hosted, backed up and supported afterwards.

Questions we are often asked

Does it upload to the DVSA for Driver CPC?

It produces a worklist with the deadline and the data ready to enter. Direct submission depends on the interface the DVSA offers at the time; we will be honest about what is possible.

Can we design our own certificates?

Yes. We reproduce your existing certificate as the template, with a unique number and an expiry date on each.

Can delegates or employers book online?

Yes, from a page on your own website, with card payment or an invoice for employer accounts.

Does it handle renewals?

Yes. Every certificate carries its expiry; reminders go to the employer contact at the intervals you set, with a link to book the refresher.

How long and how much?

Fixed scope and price agreed first, first version in weeks, then a flat monthly hosting and support fee.
